Oxfordshire Local Nature Partnership is a group of key partners working together to radically enhance nature, its positive impact on our climate and the priority it is given, helping to make Oxfordshire a county where people and nature thrive.
The Local Nature Partnership manager and communications co-ordinator are employed by South Oxfordshire and Vale of White Horse District Councils as the lead partners on behalf of the six local councils of Oxfordshire (Cherwell District Council, Oxford City Council, Oxfordshire County Council, South Oxfordshire and Vale of White Horse District Councils, and West Oxfordshire District Council). South Oxfordshire and Vale of White Horse District Councils (the councils) take the role of Data Controller for the Oxfordshire Local Nature Partnership.
The councils understand the importance of ensuring that personal data is always treated lawfully and appropriately and that the rights of individuals are upheld. You have a right to be informed about how and why your personal information is being processed. This document fulfils that obligation and provides specific information relating to how your personal data is collected, used and shared.

We will only ever collect, store, and use your personal data when we have an identified purpose and reason to do so. The Oxfordshire Local Nature Partnership processes data for the purposes of:
- Participation in Local Nature Partnership Forum - communicating with forum members about the work of the Partnership and meetings updates.
- Applications to attend workshops and events – collecting the name, email addresses, job title and organisation of prospective attendees of events to communicate about the event.
- Public consultations and reviews - collecting the name, email addresses, job title and organisation of consultees.
- Communicating about and promoting the work of the Partnership – where you have given express permission to be contacted about the work of the Oxfordshire Local Nature Partnership and ways that you can get involved, we will contact you via your preferred contact method.
We collect your data when you contact us asking to be kept informed, when you sign up to our mailing lists or when you participate in workshops and events.
We only process your personal data where we have a lawful reason to do so as set out in Article 6 of UKGDPR and for the purposes described above we are relying on your consent under Article 6(a).
We use opt-in consent to send you the information listed above by email, text message (SMS) or telephone(if you are registered with the Telephone Preference Service). We respect your right to update the way we get in touch with you about our work at any time.

Our lawful basis for processing special category personal data is your explicit consent under Article 9(a) of UKGDPR.
We may ask you questions about your gender or whether you have a disability. We appreciate that it may seem unrelated or possibly intrusive when we ask these questions; however, the information helps us to deliver fair and accessible services and to positively promote inclusion. We will only ask about disability when we are running events and need to ensure accessibility for all attendees. We will not retain this data beyond the event.
We also have a duty under the Equality Act 2010 to ensure that our communications are accessible to all. All questions are optional, so if you do not feel comfortable providing the information, you can skip these questions. This data will be used for monitoring and reporting, and we will never publish the information in a way that could identify individuals.
The councils process your data within the UK.
Our service provider Mailchimp which we use to send outmarketing emails to people who have opted in has servers outside the UK. Theirterms state that when they process data that originates from the UK, they shall process such data in compliancewith the standard contractual clauses in accordance with data protection legislation.
Your data will be retained for the duration of the partnership. We will regularly check to ensure you are still happy for us to retain your details for the stated purposes.
Neither the councils nor our contracted service providers utilise any automated individual decision-making.
You have the following rights over your personal data:

· to ask for the information that we hold about you
· to ask us to change information we hold about you if it is wrong
· to ask that we suspend processing your data for a short while if appropriate
· to request that your data is deleted
· to data portability
